A dock calendar is not reliable when it stores only a carrier name and time. The appointment must identify the actual load, required door and handling conditions, then follow arrival through safe release and documented completion for both warehouse and carrier.

Open one appointment request

Assign request and proposed appointment IDs, facility, inbound or outbound direction, requester, carrier and load references. Link order, shipment, booking, despatch or transfer documents rather than relying on free-text commodity descriptions. Record time zone and requested date range. Keep several trailers under separate appointments unless the site has a controlled multi-load booking that preserves each movement and actual arrival. Record appointment version and status such as requested, proposed, confirmed, changed, arrived, in service, completed, canceled or no-show. Keep the old and new window when rescheduled. Prevent an email confirmation and portal booking from creating two active slots for the same trailer or shipment.

Describe load and dock needs

Record vehicle or trailer type, container size, live load or drop status, package or pallet count, verified weight and dimensions, product restrictions, temperature, security, dock height, leveler, forklift, crane or other equipment needs. Identify floor-loaded, oversized, mixed, hazardous or regulated goods for qualified review. Never infer stackability, load weight or safe equipment from a generic product name.

Test capacity and readiness

Compare the requested window with door capability, yard and staging space, labor, equipment, receiving or shipping documents, order readiness and expected service duration. Check overlapping appointments and downstream workload. A free door is not available when its staging area is full or the receiving team cannot process the quantity. Reserve contingency appropriate to the actual variability rather than hiding planned overbooking. Check maintenance, cleaning, battery charging, shift and meal windows plus any carrier or customer cutoff. For outbound work, verify the goods are actually pickable and the load plan can be completed before collection. For inbound work, identify inspection or quarantine capacity, not only unloading capacity.

Confirm and communicate the slot

Issue appointment ID, facility address, gate or door instructions, local time zone, accepted arrival range, reference documents, check-in route and change contact. State which details must be updated before arrival. Use controlled channels and minimize driver personal data. An appointment confirmation coordinates access; it is not transport acceptance, customs release, product acceptance or a waiver of safety and document requirements.

Control arrival and dock handoff

Record gate arrival, check-in, vehicle and load reference, seal where used, assigned door, door-in time and readiness status. Apply site traffic, pedestrian, trailer restraint, dockboard, fall, equipment and entry controls. OSHA highlights trailer movement, dock edges and loading-dock hazards. Scheduling should show the door state but must not replace physical verification or authorize work against a red safety signal.

Manage exceptions and waiting time

Code early, late, no-show, wrong facility, wrong equipment, missing reference, incomplete load, unready order, door outage, congestion, document hold, seal issue or unsafe condition. Record timestamps, party notices, decision, revised slot and affected orders. Separate carrier delay, warehouse delay and disputed time. Keep photos or logs only under privacy and evidence policy; a timestamp supports review but does not determine contractual liability by itself.

Close and improve the schedule

Record service start, load or unload end, document handoff, door release, departure, accepted or dispatched quantity and remaining exception. Clear the door, dock equipment and staging assignment. Compare planned and actual duration by load type, not only carrier. Monitor arrival variance, wait, no-show, door utilization, service time, safety stop and downstream backlog. Adjust slot length, readiness cutoff or capacity only from repeated evidence. Reconcile canceled and rescheduled slots so they no longer consume capacity. Sample completed appointments back to receiving or shipping records and sample loads from those records back to appointments. Review systematic differences by door, shift, load type, booking lead time and exception cause before changing carrier or team performance conclusions.
