Describe what the item is in plain commercial language and keep the product reference consistent with the packing list and order. Avoid vague labels, internal nicknames or unsupported composition and use claims.
Verify quantity, unit of measure, unit value, line total, currency, freight or insurance additions, discounts and final total. Never use a marketplace display amount or an informal reference price as the transaction value.
Record country of origin accurately and provide a classification reference when the destination process requires it. Product classification and origin treatment need qualified review; a supplier code alone is not a customs decision.
Write the Incoterms rule, named place and version, then make freight, insurance and other additions consistent with the valuation basis used by the importer. Do not leave the term as an unexplained abbreviation.
Match product lines and totals with the packing list, transport document and purchase order. Investigate split shipments, samples, free items, replacements or short quantities instead of forcing documents to appear equal.

Use the actual transaction and applicable valuation records. A displayed marketplace amount is not automatically the sale price, customs value, acquisition cost or evidence for the shipment.
