Packing list checklist for importers

A packing list explains what is physically inside each package. Buyers, forwarders, customs officials and receiving teams use it for different tasks, so the same carton count, product quantity, marks, dimensions and weights must stay readable across the shipment.

Connect the document set

Number the packages

Assign a unique carton, case or pallet number and show total package count. If pallets contain cartons, describe both levels so a forwarder or warehouse can locate one product without opening the entire shipment.

Allocate product by package

List SKU, description, color, size or approved variant and quantity inside each package. Mark mixed cartons and partial cartons explicitly instead of hiding them inside a shipment total.

Check marks and labels

Reconcile package numbers, order reference, destination, handling marks and required barcodes with the approved artwork. Keep regulatory or carrier marks within the applicable reviewed scope.

Measure dimensions and weights

Record package length, width, height, net weight and gross weight in named units. Recalculate totals and compare them with the freight quote before dispatch; unexplained differences can change charges or indicate packing errors.

Match the commercial invoice

Product names, quantities and units should reconcile with the invoice while the packing list adds physical detail. Document samples, free items, split shipments, replacements and shortages instead of omitting them.

Prepare the receiving view

Give the warehouse an expected package count and SKU-by-package breakdown. Add a space for received quantity, damaged package number and discrepancy evidence so arrival findings connect to the dispatch record.

Is a packing list a substitute for a commercial invoice
