An Incoterms rule is useful only when the buyer and seller connect it to a precise place, transport plan and written order. The rule allocates delivery tasks, costs and risk; it does not replace the product specification, price, payment schedule, inspection terms or import requirements.

Use the correct transport group
EXW, FCA, CPT, CIP, DAP, DPU and DDP can apply to any transport mode. FAS, FOB, CFR and CIF are designed for sea or inland-waterway transport. Do not select a sea-only term merely because a forwarder uses the word freight.
Find the delivery and risk point
The party paying the main freight does not always carry risk until arrival. Identify where delivery occurs under the selected rule and write that point into the internal order review so insurance and claims planning follow the same understanding.
Make the named place precise
Replace a country or city alone with the warehouse, terminal, port, carrier facility or other agreed point. If several gates or terminals exist, record the exact one and who pays any movement beyond it.
Check customs capability
Confirm which party can complete export and import formalities in the relevant jurisdictions. A contract label cannot create a registration, permit, broker relationship or tax capability that the responsible party does not have.
List what Incoterms do not decide
Keep ownership transfer, payment timing, product acceptance, warranty, remedies, intellectual-property terms, compliance evidence and governing law in the commercial agreement. Do not assume the delivery rule resolves them.
Reconcile every quotation
Ask the supplier and forwarder to state included origin, freight and destination charges against the selected rule. Record exclusions, free-time assumptions, tax treatment and document fees instead of comparing one total in isolation.

They allocate defined delivery tasks, costs and risks between seller and buyer. They do not replace the full sales contract or decide every commercial, regulatory or product issue.
Which Incoterms rule is best for a small importer
There is no universal best rule. Choose from the actual transport mode, customs capability, desired control, cost visibility, named place and risk point, with destination advice where needed.
Does the party paying freight always carry the shipping risk
No. Under some rules the seller pays carriage to a destination while risk transfers earlier. Read the selected rule's delivery point and arrange insurance accordingly.
How should an Incoterms rule appear on a purchase order
Use the three-letter rule, a precise named place or port and the version, for example 'Incoterms 2020'. Add separate written terms for costs, documents and responsibilities outside the rule.
