Freight quote comparison checklist for importers

Freight quotes cannot be compared from the total alone. Give each provider the same shipment profile and align origin handling, main transport, customs support, destination charges, final delivery, exceptions and validity before deciding which scope is cheaper or more suitable.

Freeze the shipment profile

Use one product description, carton count, package type, dimensions, net and gross weight, stackability and any special handling. Mark estimates. A change in packed dimensions or weight can change chargeable weight, equipment, service options and price.

Name both ends precisely

Record pickup address or origin terminal and the named destination port, airport, warehouse or postal code. Port-to-port, airport-to-airport, door-to-port and door-to-door quotes cover different work even when the route headline looks identical.

Align the delivery rule and named place

If the commercial order uses an Incoterm, record the exact rule, named place and version. Use it to identify seller and buyer responsibilities; do not assume the three-letter rule alone explains every local charge or service in a forwarder's quote.

Separate the transport stages

Break the quote into origin pickup and handling, export formalities, main carriage, insurance when included, destination handling, customs brokerage and final delivery. Check whether consolidation, deconsolidation, terminal, documentation or appointment fees are separate.

List conditional and excluded costs

Ask how fuel, security, remote-area, residential, liftgate, storage, demurrage, detention, customs examination, re-delivery and address-correction charges are handled. An unknown conditional charge is not zero; keep it visible as an exposure.

Distinguish brokerage from government charges

Customs brokerage is a service. Duty, import tax and other government charges depend on classification, customs value, origin, destination and current rules. Record who acts as importer of record and who supplies classification and valuation inputs.

Compare timing as a range

Record cargo-ready date, booking cutoff, estimated departure, transit range, handovers and final-delivery scope. Clarify whether the estimate excludes customs, congestion or appointment time. Cheapest can be expensive when the timing conflicts with a retail launch.

Check validity and change triggers

Write the quote issue date, expiry, currency, exchange-rate basis and assumptions. Identify what requires repricing: different weight, dimensions, ready date, route, delivery address, product description or service. Preserve the final booked version beside the invoice.

Questions buyers often ask

Why are two freight quotes so different

They may use different cargo data, delivery scope, mode, service level, route, surcharges, destination handling or exclusions. Normalize those inputs before treating the difference as a rate difference.

Does a door-to-door quote include duty and tax

Not automatically. Ask whether brokerage, duty, import tax, government charges and importer-of-record responsibilities are included, excluded or payable separately. Use written scope, not the service label alone.

What information is needed for an accurate freight quote

Provide cargo description, carton count, package type, dimensions, gross weight, origin, destination, ready date, service requirement and any dangerous, fragile, temperature or other special handling facts.

Is the fastest transit quote the fastest delivery

Not necessarily. Transit may exclude pickup, booking, consolidation, customs, terminal release, appointments and final delivery. Compare the complete estimated timeline and dependencies.

The comparable number is total expected scope, not headline freight
